Why was my email rejected?

In the AI PR Toolkit, an email marked as Rejected means it wasn’t sent or delivered due to an issue detected during the sending process. This can happen for several reasons. Here’s what you need to know and how to avoid it in the future.

Common reasons for rejection

1. Deliverability issues

Your message may have been flagged as spam or blocked by recipient servers due to poor domain reputation, suspicious formatting, or content.

What can trigger this?

  • Missing or broken unsubscribe link
  • Use of spam-like phrases in subject lines or body (e.g., “Buy now”, “Limited offer”)
  • Link-shortening tools or image-only messages
  • Sending too many emails at once without warming up your domain

2. Technical errors

Sometimes rejections are caused by system-level issues, such as:

  • Invalid or malformed email addresses
  • Authentication errors (SPF/DKIM/DMARC not configured properly)
  • In rare cases, connection issues between AI PR Toolkit and the email server. If that happens, contact our support team.

3. Exceeded sending limits

If you’ve reached your current sending quota, your email will be rejected automatically.

To check your limit, go to Your Emails and see how many email sends you have left in the top right corner.

How to reduce the risk of email rejection

  • Warm up new domains
    If your domain hasn’t been used for email outreach before, email providers may treat large campaigns as suspicious. Start small and gradually increase your sending volume to build trust.
  • Avoid spam triggers
    Use clear subject lines, avoid excessive formatting, and always include a visible unsubscribe link.
  • Clean your media lists regularly
    Remove outdated, misspelled, or invalid email addresses to reduce bounce risk and improve sender reputation.
  • Check your email content
    Avoid linking to shady domains or sending emails with only images and no text. Use AI suggestions or spam checkers to improve message quality.
